Where billing lives in the app, what the free plan's two limits do, how to subscribe or add an AI Training Pack, and how referral credits work.

What this does not do
the server has the final say on limits and the figure shown in the app is advisory. Nothing is ever archived or deleted for being over a limit — say that plainly, it is the whole design. Pilot departments are on a free plan; post-pilot pricing is still being finalized publicly.
The Billing tab lives under Admin, and only a department admin and above can open it — a member does not see it. See Manage members and roles for how that role is assigned.
A department that signs up on its own starts on the free plan, and two limits apply there: five incidents open at once, and 2 GB of storage across your incidents' audio, photos, and other files. Hitting either one refuses the next save and tells you which limit you hit — it never locks, hides, archives, or deletes anything you already have. Closing a completed incident frees an incident slot — see Incident lifecycle and handoff for how an incident reaches closed — and deleting files you no longer need frees storage. If your department has never started a trial, the app also offers one as a second way past the incident limit.
To subscribe, open the Billing tab and choose Subscribe. The price is annual, with a segmented control to pay it as four quarterly installments instead — the same total, at no extra cost, just a different schedule. Once you're subscribed, Manage billing opens a billing portal where you update your payment method or manage the subscription — that part runs outside the app itself.
A department on a paid plan can also buy an AI Training Pack: a one-time purchase that tops up the department's AI allowance for the month, applied automatically once the included monthly allowance is used, and it arrives with an invoice for your treasurer. The Billing tab's Usage this month panel shows map loads and how much of that allowance remains.
Referral credits reward a department that brings in another one. Once you're on a paid plan, the Billing tab shows your own referral code and a link you can copy and share. The department you refer applies your code from their own Billing tab, before they subscribe — look for Have a referral code? there. Once their subscription qualifies, you earn a credit toward a later invoice — and while the referral program's introductory window is open, they earn one too.
Two banners warn you before anything else changes. Near the end of a trial, a banner appears linking to View plans; if a payment fails, a banner says your last payment didn't go through and links to update it. Both dismiss for the session and come back on the next reload until you act.
Prices, and which plan fits your department, live on the pricing page — this article covers what the limits do, not what they cost.
